Calling agent, voice agent, receptionist: which word you use

This category has four or five names and no agreement about which is correct. That is a problem when you are trying to buy one, because two products described in different words can be the same thing, and two described in the same words can be nothing alike.

The distinction that actually matters is direction. Inbound means answering calls that come to you. Outbound means placing calls to other people. Almost everything else is branding.

What it does when somebody calls you

The phone is answered on the first ring, at any hour, and by more than one caller at a time — the second caller is not sent to a ring tone while the first is being booked. How many calls it holds at once is set by your plan.

It opens with a spoken notice that the call is recorded, then listens. The caller talks the way they would talk to a person: they say what they want rather than choosing it from a menu. The reply comes back in whichever of English, Malayalam, Tamil, Hindi or Arabic they opened in, including the mix of Malayalam and English that most phone conversation in Kerala actually consists of.

From there it does the work rather than taking a message about it. It checks what is free, offers a time, books it, and confirms. Rescheduling and cancelling work the same way. What was said, what was agreed and what happens next go into the CRM as a record, not as an audio file for somebody to listen to later.

The outbound half, and where it stops

A calling agent that only answers is half a product, so VokaLQ also places calls. Two kinds: following up with somebody who enquired and has not been called back, and asking a customer how a job went after it is finished. Both run off the CRM, so the call already knows who it is talking to and what happened last time.

What it will not do is work a list of strangers. Unsolicited bulk calling is prohibited by our terms, and not as a formality — it is the thing that gets a business number flagged by carriers and, under TRAI’s rules on commercial calling, gets it disconnected. The outbound feature is built for people who have already contacted you, and that is a deliberate limit rather than a missing feature.

What is the difference between an AI calling agent and an AI receptionist?

Usually nothing. Both describe software that handles business phone calls in a spoken conversation. Where people do intend a difference, "receptionist" means answering incoming calls and "calling agent" means placing outgoing ones. VokaLQ does both: it answers every inbound call, and it makes follow-up and feedback calls to people already in your CRM.

Can an AI calling agent make outbound calls?

VokaLQ makes two kinds of outbound call: following up with someone who enquired, and asking a customer for feedback after a job. Both are triggered from the CRM record of an existing contact. It does not run cold-calling campaigns against purchased lists — unsolicited bulk calling is prohibited under our terms.

Is an AI calling agent the same as a voicebot or an IVR?

No. An IVR is a keypad menu and a voicebot is usually a fixed script with branches; both make the caller navigate a structure you designed. An AI calling agent has the conversation instead — the caller says what they want in a sentence and it responds. There is no menu and no key to press.

Which languages can the calling agent speak?
